Xpress Notary Services (“we”, “us”) respects your privacy. This policy explains what personal information we collect through this website, why we collect it, who we share it with and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act.
Information we collect
- When you contact us — your name, email address, phone number (if you give it) and your message.
- When you book an appointment — the details you enter in the booking calendar (such as your name, email, phone number and the service you need). Bookings are handled by Cal.com.
- When you create a document online — the answers you type into the document builder. Depending on the document, this can include names, addresses, dates of birth and details about family members, attorneys, executors, beneficiaries, witnesses, property and travel plans.
- When you buy a document or ask for a download link — your email address and order details (the document, price, date and payment reference). Card payments are processed by Stripe; we never see or store your full card number.
- Technical information — like most websites, our hosting provider records standard server logs (such as IP address, browser type and the pages requested) to keep the site secure and working.
Information stored in your browser
The document builders save your answers in your own browser (local storage) so you can come back and finish later. This stays on your device until you clear your browser's site data. We don't use advertising or analytics cookies. If you use the booking calendar or the map on our contact page, Cal.com and Google may set their own cookies under their privacy policies.
How we use your information
- to answer your questions and arrange and provide notary and commissioning services;
- to generate your document and email you a secure download link;
- to process payments and keep the business and tax records the law requires;
- to send you a new download link or regenerate your document when you ask; and
- to protect the website and our customers against fraud and misuse.
We don't sell or rent your personal information, and we don't use it for advertising.
“Polish with AI”
Some document steps offer an optional “Polish with AI” button. If you use it, the text in that box is sent to Google's Gemini service to be rewritten and returned to you. Only use it for text you're comfortable having processed this way.
Who we share it with
We share personal information only with service providers who help us run this website and only as needed for them to do that work: Vercel (website hosting), Supabase (database and secure file storage), Stripe (payments), Resend (email delivery), Cal.com (appointment booking) and Google (the optional AI rewrite and embedded maps). Some of these providers store or process information outside Canada, including in the United States, where it may be subject to the laws of that country. We may also disclose information when the law requires it.
How long we keep it
- Generated document PDFs are deleted from our storage 7 days after they're created, when the download link expires.
- Order records — including the answers used to create your document — are kept so we can send you a new link or regenerate the document if you ask. Payment records are kept for as long as tax law requires.
- Messages you send us are kept only as long as we need them to help you and for our records.
You can ask us to delete your document answers at any time; we'll keep only what the law requires us to keep.
How we protect it
The website is served over HTTPS, access to our systems is restricted to authorized staff, documents are stored privately, and download links expire after 7 days. We store only a secure fingerprint of each link, not the link itself. No system is perfectly secure, but we take reasonable steps to protect your information.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, withdraw your consent (where that doesn't prevent us from meeting legal obligations) or ask us to delete it. Contact us using the details below; we may need to confirm your identity first. If you're not satisfied with how we handle your request, you can contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.
Children
Our online documents are meant for adults. We don't knowingly collect personal information from children except as part of a document an adult prepares (for example, a child's name on a travel consent letter).
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
